In 1973, I started teaching music and found myself thrown into planning an overnight trip for my music group - we'd been asked to perform in St. Louis.
That's 56 students with complete band equipment, music, etc. traveling to a new city, staying overnight and returning "all in one piece!"
Besides going to a travel agency, I just didn't know where to start.
Frankly, I felt any travel agency would be more costly and didn't think they knew much about setting up group travel, let alone a music group with special logistical needs, like a school band.
I was a new teacher at the school, the group had not traveled before and didn't have anyone to help me plan or know where to go.
So here I went, I booked school buses (not too hard)...then booked the hotel myself. I didn't know enough then to ask for group rates or a free room for the group leader.
I was pleased I was able to set up a nice theme park visit for the kids for fun after we finished our music performance at a park. I smuggly thought I had all the bases covered.
Boy, was I wrong.
Even with the help of a few music boosters and chaperones (of which I didn't have enough), it was rocky at best.
The trip ended up costing double what I now know to be possible. I didn't plan in enough restroom breaks or long enough food stops at places like McDonalds - I didn't know I could call ahead to let them know we were coming!
We were late to most places and we almost missed our performance time.
Due to road construction, our buses were split up and this was before the era of 'Cell phones.' So we lost part of our group for a while!
I laugh now...but then I was a nervous wreck knowing the weight of the trip was totally on my shoulders.
Even though the kids probably had a good time and rolled with these things, I never did have a chance to enjoy the trip myself. Plus I had my "teacher" and "music director" duties too...I was just trying to wear too many hats...and some didn't fit!
I learned SO MUCH from that first trip as a "rookie" travel planner as as a "rookie" teacher too.
Now, 30 years later and many good, fun trips under my belt, I know what I did wrong and want to share that knowledge with you.
I want to help you avoid the costly mistakes I made and avoid some sleepless nights too! ;-)
As you probably know, information on Travel is everywhere on the internet but "specific group travel" info is still pretty hard to find.
So 30 years later it's still easy to say "I just don't know where to start" unless you have some "inside" information!
If you are like me, you have no "inside information." You know there's a better way, you just don't know what it is. My biggest problem was finding companies that were reputable in the group travel field and that really knew how to make my trip happen easily.

I started a small list of reputable companies that could negotiate the best rates, set up proper insurance, bonds, and the many details for a traveling group. And later found real "specialists" that would even travel with me and totally take on all the trip details...and it cost no more! It was truly remarkable having a real "group travel professional" taking care of things. Those things I never knew.
They covered all the details "I didn't even know I NEEDED to know!"
Slowly but surely my RESOURCE list grew. Other teachers were asking me about their travel planning.
The coach of our baseball team had to plan a 3-day, 2-night trip for his team and talked with me at length about that to do, not to do.
And now I've learned that just having information available, like on the internet, is no replacement for knowing WHO to plan your group trip.
I'm not a "know it all" expert by any means but I am a "know who to ask" person with lots of experiened resources. A big difference!
